Quickaccess is an Internet-based service provided by Quickoffice, Inc. ("Quickoffice") and its technology partner, SoonR, Inc. ("SoonR"), that enables secure mobile access – over any mobile carrier's open data network – to content on any registered, Internet-connected PC. Quickaccess members can search, read and send email, schedule meetings, manage contacts, preview, view and edit documents, and share files instantly and securely.
Scope of this Policy We at Quickoffice recognize the importance of your privacy and the protection of your information. This Privacy Policy is intended to inform you about the information we collect via the Quickaccess software you will be using ("Quickaccess Software"). The services provided by Quickaccess and enabled by the Quickaccess Software are referred to in this Policy as the Quickaccess Services ("Quickaccess Services"). We refer to those who have downloaded and use the Quickaccess Software as members ("Members").
This Privacy Policy also explains our practices on our website located at www.quickaccess.net/legal ("Website").
Changes to this Policy We expect to update this Policy frequently as we continue to offer you more Quickaccess Services, including services integrating the Quickaccess Software with software owned by third-party companies with whom we will choose to partner. We encourage you to review this Policy regularly, particularly each time you register for new Quickaccess Services via the Quickaccess Software.
What information does Quickaccess Collect? In general, Quickaccess collects your personal information only when you provide it to us; for example, when you register for a Quickaccess member account, or when you email it to us. We try to make it clear to you when you are providing personal information to us (e.g., by creating a web form for you to fill out.) Similarly, we try to make it clear when the information you are providing is required by making an indication on the web form. We may collect information from you in the following ways, including:
- When you register for a Quickaccess account and use the Quickaccess Software
In order to use the Quickaccess Software, you must download the software and register for an account during the software setup process. As part of the registration process, we ask you to provide personal information such as your full name, your email address, and your mobile number. We also require you to setup a User ID and password, which may be considered personal information. We also ask (but do not require) you to provide us with other information such as your Instant Messaging ("IM") name, the type of IM Program that you use, and your country of residence. Some of this information may be considered personal information. Please note that if you choose NOT to provide your IM name, you may not be able to enjoy all of the functionality of the Quickaccess Software. This functionality is primarily for the notification of events using the IM service.
The Quickaccess Software collects additional information from Members, including: their IP address, browser details, and operating system and version. It also collects some information on how Members use the Quickaccess Software, including information about which file types Members choose to share with other Members, and which of the files those Members have accessed and when. The Quickaccess Software when used from your mobile phone may also collect other data (including but not necessarily limited to the make and model number (e.g., Nokia N95) of your mobile phone, your phone's unique IMEI number, your current network operator and region) when Members login in order to optimize their experience with the Quickaccess Software. None of this additional information is used to identify Members personally.
- When you invite others to try the Quickaccess Software
When a User elects to invite a friend to join Quickaccess, we ask the User to provide the friend's name and either their email address or mobile phone number. Quickaccess will automatically send the friend a one-time email or SMS message inviting the friend to subscribe to Quickaccess which includes a temporary user ID and password. Quickaccess does not store the message sent, but we do keep track of who sent the message and to which email address or mobile phone number it was sent. To request the removal of this information from our database, the friend may contact SoonR by sending a message to privacy@SoonR.com.
- When you visit the Quickaccess Website
We may collect personal information from you when you visit the Website. For example, if you send us an email asking a question, we will keep whatever information you provide for as long as it reasonably takes to answer your question. We also collect additional information from you when you visit the Website, including your IP Address, browser type, domain name, time/date, referring URL, landing page, and pages viewed. Quickaccess does not use any of this additional information to identify you personally.
How does Quickaccess use Cookies?
Quickaccess uses cookies in connection with the Quickaccess Software, and the Website. A cookie is a small bit of data, which includes an anonymous unique identifier that is sent to your computer's browser from a website's computers and stored on your computer's hard drive. We use cookies in conjunction with the Quickaccess Software in order to identify your computer and your mobile phone when you log in. We also use cookies to enhance your experience as you visit the Website.
If you delete or disable your cookies, you will significantly impair the functionality of the Quickaccess Software, and may not be able to use all the features of the Website.
How does the Quickaccess Software's integration with third-party software affect User Privacy? The Quickaccess Software currently allows Members to access applications on their Internet connected computer from any mobile phone and from any other Internet connected device. Members are required to log into the Quickaccess Software in order to access the Quickaccess Services. We think it's really important that Members understand how using the Quickaccess Software alone, and/or in conjunction with software owned by third parties ("Third Party Software") may impact their privacy.
- Accessing, Sharing, Storing and Uploading User Files – Members may use the Quickaccess Software to access, upload, or store almost any type of file on our servers. They may also share those files with other Quickaccess Members. Members have a choice regarding which files and folders they upload to our servers and which (if any) other Members they provide access to those files and folders. Please be careful when sharing files that contain personal and/or sensitive information.
When a User chooses a folder to remotely access using the Quickaccess Software, the only part of the file that is actually transferred to our servers are the meta tags ("Meta Tags") unless the folder is also selected for 'AnyTime Access', as described below. Meta Tags help locate files that the User has "uploaded" and subsequently wants to access remotely via our servers. The Meta Tags also let us know if a User has made any changes to those files, and ensure that the User (or another Quickaccess user with whom the User has shared the files) is able to remotely access the most updated versions of those files.
If you are not logged into the Quickaccess Software via your computer, you will not be able to access your files via our servers, nor will other Quickaccess Members with whom you've shared your files have access to those files unless you use the 'AnyTime Access' feature, as described below.
- Quickaccess AnyTime Access – If a User marks a folder for storage in the Anytime Access storage server, the file is uploaded to the Quickaccess server. This allows the file to be accessed by the User (or by others to whom the User has shared the file) even if the User's computer is offline or turned off. Files are encrypted during transfer (upload and download) between Quickaccess and the User's computer. To allow search of this stored content by the User, the file needs to be indexed while in an unencrypted format. The files may be stored unencrypted on the Quickaccess servers. In addition to files, if the User has opted to use Quickaccess Organizer (see below), then the user's emails, calendar items and contacts may also be stored on the Quickaccess servers for AnyTime Access.
- Quickaccess Organizer – By using the Quickaccess Software feature called Quickaccess Organizer, Members may upload, store and access the information from Microsoft Outlook or Mac Mail and Addresses. This information includes Outlook and Mac Address Book contacts, Outlook calendar (7 days in the past and 21 days into the future) and Outlook and Mac Mail emails (21 days' emails). This information is automatically updated when Members activate the Quickaccess Software from their Internet connected computer which contains the Outlook or Mac Mail/Addresses content. This information is also stored and searchable in the Quickaccess AnyTime Access storage. We strongly encourage you to read the Privacy Policy for Outlook, Mac Mail, Mac Addresses, and any other software that you choose to download.
- Quickaccess Desktop – Quickaccess Desktop allows Members to access the content on their computer, via their mobile phone or any other remote, Internet-connected computer. As part of the Quickaccess Software, Quickaccess is integrated with several popular Desktop Search products, including Google Desktop Search, Microsoft Desktop Search, and Spotlight on the Mac. Members must explicitly request the ability to integrate the Quickaccess Software with each of the Desktop Search products separately. Moreover, certain of the Desktop Search products must be downloaded and agreed to independently, and each will process and protect the privacy of your information in accordance with their own Privacy Policies. Please note that some of these Desktop Search products may, in connection with the services they offer, upload some of your information from your computer to computers owned by the Desktop Search companies. We strongly encourage you to read the privacy policies for these and any other software that you choose to download./li>
How does Quickaccess use my information? In general, Quickoffice uses the information collected from you to provide you with the Service(s) which you have requested, to enable the functionality of the Quickaccess Software, to contact you about your account, and to help you resolve any technical matters when you seek technical assistance.
If you are a User, we will use your email address to contact you about the Quickaccess Software and Services, about product upgrades, updates, and new products and services. As part of the Quickaccess End User License Agreement, we require that you initially accept these types of emails from us. However, you may take your name off the list for these emails at any time by following the 'unsubscribe' directions at the bottom of every email./p>
We may use web beacons to determine whether you have opened the emails that we send to you. A "web beacon" is an electronic image, also known as a clear GIF or a single-pixel (1x1), which can recognize certain types of information on an individual's computer such as an individual's cookie number, the time and date of a page view, and/or a description of the page where the web beacon is placed.
Will Quickaccess transfer any of my information across International borders? You may access the Service, including any files stored on your computer, from any location from which you can connect to the Service via your mobile phone.
Regardless of where you use the Quickaccess Software and/or Service, Quickaccess stores and processes the information that we collect from you on computers in the United States and other countries in which SoonR or its agents maintain facilities. Your acceptance of the Policy includes your consent to those transfers.
When can my information be disclosed to third parties? Quickoffice may use third parties to process information about you. If we do, we will require that they comply with this Privacy Policy and any other appropriate privacy and security measures.
Quickoffice may also disclose information about you to third parties when we have a good faith belief that it is necessary to do so: in response to legal process, to protect and defend Quickoffice's rights or property, to prevent fraud or in cases of imminent danger, to enforce the Quickaccess End User License Agreement, or in the event of a merger, acquisition or sale of all or a part of Quickoffice's assets. In the event of a merger, acquisition, sale or bankruptcy, Quickoffice will take reasonable steps to ensure that your information will be handled consistent with the applicable Privacy Policy.
Quickaccess does not sell or rent your personal information to other parties.
What are my access and opt-out rights? You may uninstall and delete the Quickaccess Software from your computer at any time.
If you are a User, as part of the Quickaccess End User License Agreement, we require that you initially accept emails from us. However, you may take your name off the list for these emails and/or choose which types of emails you'd prefer to receive at any time by following the 'unsubscribe' directions at the bottom of every email.
We will always correct your account information when you notify us. If you cancel your use of the Quickaccess Software or any product or service, we will delete all information except those records necessary for our legitimate business purposes. If you do not login to your Quickaccess account for 90 days, we will deactivate your Quickaccess software's access to our service, after first notifying you of the pending deactivation.
What is your policy for Children? If you are under the age of 13, we ask that you do not download the Quickaccess Software or provide your personal information to us. If we become aware that a child under the age of 13 has provided us with personal information, we will take reasonable steps to delete that child's information from our database.
What is your security policy? The security of your information is important to us. We follow generally accepted industry standards to protect the information submitted to us, both during transmission and once we have received it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, while we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security.
When you use the Quickaccess Software to upload files to our servers, we will treat that information with the same security measures we afford the information we collect about you and about those you authorize to access your files. Sharing access to your files may create additional risks to privacy and to the confidentiality of the information within your files. We provide certain safeguards from our end, for example, the ability for you to view who has accessed the files you've decided to share. But some of the responsibility to prevent unauthorized access remains with you. If you authorize others to share access to your files, you are agreeing that you recognize those risks.
Moreover, while most mobile phones support SSL or other forms of secure data transmission, some mobile phones – particularly older mobile phones – do not. Members who access the Quickaccess Service via older mobile phones should take note of this. We strongly encourage all Members to check the operating instructions or similar documentation for their mobile phone PRIOR to using the Quickaccess Service.
